OmniDrive user manual
Welcome to OmniDrive. This manual walks you through complete app setup — from first launch to automatically sending your trip logbook to your accountant.
How it works
1. First launch and basic settings
For OmniDrive to work reliably and log trips fully automatically, complete the initial setup on first launch.
Email verification
After registration we send a verification link. To unlock the app, open the link in your inbox, then choose “I have verified” in the app.
Background location permission
OmniDrive needs location access even when the app is closed. This permission is used only so routes are recorded automatically while you drive. If you deny it, the app works in manual mode only.
Battery optimization (Android)
Android often suspends apps in the background. For reliable GPS logging with the screen off, grant OmniDrive an exemption from battery optimization.
2. Adding a vehicle and Bluetooth
Trips and reimbursement calculations are tied to a specific vehicle. You add the first vehicle right after registration.
Ownership type
- Private (recommended): The app automatically calculates mileage allowances and meal allowances (per diems) per legislation.
- Company: Logging focuses on trip and fuel receipt evidence, without amortization calculation.
Note: Ownership type cannot be changed after the vehicle is created.
Bluetooth pairing
In the vehicle detail, pair your car radio (or hands-free). OmniDrive then knows exactly when you entered the car and when to start automatic logging.
3. How trip logging works
OmniDrive does not require your attention. Trips are recorded in the background.
Automatic start (Bluetooth)
Once the phone connects to the paired car Bluetooth and you exceed 15 km/h, logging starts. Stopping at traffic lights does not interrupt the recording.
Automatic stop
After the engine is switched off (Bluetooth disconnect), the app waits about 50 seconds. If you do not continue driving, the route is quietly saved to History with the default purpose “Business trip”.
Manual start
Without Bluetooth, you can start and stop logging anytime with the Start / Stop button in the app.
Refueling during a trip
From the in-trip notification you can add a fuel entry. For company vehicles you can photograph the receipt; the app later attaches it to that trip automatically.
4. Trip history and edits
The History tab lists all real trips (Bluetooth or manual). Duplicated trips do not appear here.
Detail and review
Open a trip to change its type (business/private), edit the purpose, adjust distance to match the odometer, or manually edit map points (e.g. remove a GPS glitch).
Per diems
For business trips the app suggests per diems based on duration (over 5, 12, or 18 hours). You can also exclude a per diem for a specific trip manually.
Split and merge
If you forgot to stop manual logging, you can split a trip into two on the map. Conversely, several short stops on the same day can be merged into one continuous trip.
5. Logbook and exports
The Book (Fleet) tab is your accounting hub. It shows a complete overview of all trips — real ones from History and those generated by the Duplicator.
Summary and filters
A quick overview of business kilometres, per diems, and total reimbursements for the selected month.
Export to PDF / Excel
Generate a legislation-compliant trip logbook or per-diem summary in one click. You can also download a ZIP archive of all photographed receipts.
Automatic email to your accountant
In Settings → Email & sending you can enable automatic delivery. The app sends the finished logbook including receipts every month on the chosen day at 09:00 to the specified email.
Signatures
Draw or upload your signature in the app; it is inserted automatically into exported PDF documents.
6. Trip duplicator
The Duplicator is an advanced tool for backfilling business kilometres — for example if you forgot to start logging and need the book to match the real odometer.
Route templates
Save frequent routes or duplicate them directly from History.
Calendar
Pick the working days for which you want trips generated. The app places routes intelligently and skips days that already have a real entry in the book.
Generation
Enter the desired number of kilometres and the Duplicator allocates the missing kilometres. After you confirm, generated trips are saved to the Logbook. For easier calendar work we recommend using the Duplicator on a computer.
7. Settings, rates, and licence
All legislative and billing data is managed in your company profile.
Tax residence
The app supports legislation for SK, CZ, and PL. Reimbursement calculations, currencies (EUR / Kč / zł), and fuel prices follow only the country set in the company profile — regardless of the app language.
Home / start location
For correct per-diem calculation and Duplicator behaviour, set the driver’s home address with an exact GPS position in Settings (Accounting & taxes).
Licence and 500 km limit
You can try OmniDrive for free. After exceeding 500 km (sum of all trips), exports and the Duplicator are locked.
Licence management
In line with mobile app store rules, purchasing and managing a company licence happens only via our web portal. Activate a subscription at app.omnidrive.eu. Trip logging and saving to History still work after the free limit is used up.
FAQ
Frequently asked questions
Why isn’t the app saving routes in the background?
The most common reason is Android battery optimization suspending the app when the screen is off, or missing background location permission. Check that these exemptions are granted directly in the app (they appear in Settings and on the Vehicles tab). Also make sure you have an active Bluetooth connection paired with your vehicle.
How do I switch to the paid version?
You can try OmniDrive completely free until you reach the free limit of 500 recorded kilometres. After that, advanced features such as PDF/Excel export and the Duplicator are locked (trip logging continues). Purchasing and managing a company licence happens only via our web portal. To activate a subscription, simply sign in at app.omnidrive.eu.
Where do I change per-kilometre rates?
Rates in OmniDrive are not set manually — they follow your company’s tax residence automatically. In Settings → Company profile → Billing details, choose the correct country (Slovakia, Czechia, or Poland) and the app immediately applies the statutory rates for amortization, meal allowances, and fuel prices under local legislation.
Can I change vehicle ownership type later?
Ownership type (private vs. company) cannot be changed after the vehicle is saved. This protects the consistency of reimbursements already calculated in history. To change the type, delete the existing vehicle and add it again with the required type (your recorded trips in history remain preserved).
